Side by side keeps the PDF next to the invoice details on wide screens (1280 px and up); the invoice list folds away while an invoice is open.

The invoice total (incl. VAT) decides two things. Each range below sets:
Which invoices need approval at all is set under Approval policy (e.g. all service invoices, or everything from a certain amount). Enter plain numbers only -- no thousands separator (e.g. "10000", not "10.000" or "10,000"); a decimal point or comma both work for fractions.
Sets which invoices go to Awaiting approval and which end up in Match (ready to post). Approving does not post: an approved invoice moves to Match, where a user with posting rights posts it. Who approves, and in how many steps, comes from the approval routes (by default the amount bands, based on the invoice amount). Changes apply to invoices that are processed or saved afterwards.
Approving an invoice does not post it: after approval it moves to Match, where a user with posting rights posts it. The right to approve, the amount limit and the approval levels are set per user (Users > Authorization). A user can only approve invoices up to their limit, and only invoices that need a level they have been given.
Accounts that have been created for this app. "Company" is informational only for now (e.g. the ERP company/client this user works with) -- there is no data separation between companies yet.

The fixed list of approval level names used throughout the app (in the "Approval thresholds" tab, and in the Authorization tab on a user's profile). Renaming a level here updates it everywhere at once -- no more retyping the same name in multiple places. Who is assigned to which level is set per user, in that user's Authorization tab.
A route is the list of steps an invoice goes through in Approval, each step with an approval level. By default the route comes from the amount band of the invoice total: any extra steps you add here come first, and the level of the band itself is always the last step. A supplier can have its own route, which replaces the amount band for that supplier. Without any extra steps, an invoice needs one approval, as before.
While someone is away, their deputy receives the approval emails and may approve on their behalf, within the absent person's approval levels and amount limit. The approval is recorded as "by (deputy) on behalf of (absent person)".
How new invoices in Incoming_Invoices get picked up -- independent of HOW they get there (by hand today; a mailbox integration later would drop them in the same place). "Manual" means only the "Process new invoices" button on the main screen triggers processing. "Automatic" runs it in the background on the interval below, on top of the manual button still working whenever you want it.
Name, supplier number and VAT number per supplier, plus whether invoices from this supplier may arrive without a PO (e.g. carrier invoices). Each supplier has three separate lists -- G/L accounts, cost centers and tax codes -- each with a default. On a Non-PO invoice these are the options to choose from per invoice line; on a PO invoice the tax code is sent along to the booking. The extra cost mapping decides what happens with charges that are not on a PO line (freight, fees, surcharges). Bulk-fill everything with the Excel template: one sheet per list, matched on supplier number (or name if a supplier has no number yet).

Smarter Invoices will be able to watch a shared invoice mailbox and show you here, at a glance, which incoming mails have already been picked up and processed, which are still waiting, and which need a look — so you no longer have to open the mailbox itself to find out.
To use it, a mailbox (for example Microsoft 365 / Outlook or a standard IMAP mailbox) has to be connected to Smarter Invoices. That connection is not available yet.
Processed and skipped mails are kept for 90 days, then removed automatically. Mails that are still waiting or have failed are kept until they are handled, and always stay visible here.
